Booking Policy
Reservation Deposit
A tour spot is officially reserved only upon receipt of the initial booking deposit / registration fees. A non-refundable deposit of twenty percent (20%) of the total tour cost is required to secure your booking.
The remaining balance must be paid no later than fifteen (15) days prior to the tour start date, as notified via your booking dashboard and email reminders. Failure to clear the full balance by this deadline may result in automatic cancellation of the booking, without prejudice to the Company's right to retain the deposit in accordance with the Refund Policy.
Payment Flexibility
Flexible instalment options are available. You may pay the outstanding balance in multiple instalments of your choosing, provided that the total amount is fully cleared no later than the departure date. The Company reserves the right to withhold confirmation of your tour slot until the full balance is received.
Full Payment Benefit
Participants who elect to make full payment (100%) of the total tour cost at the time of booking may be offered a promotional discount at the sole discretion of the Company. Any applicable discount will be confirmed in writing at the time of booking. The Company makes no binding commitment to offer a discount in all cases.
Booking Confirmation and Details
Upon successful receipt of the deposit, a booking confirmation email will be issued to you containing your booking reference number and trip details.
Accurate personal, contact, and emergency details must be provided by all travellers — including riders (pilots) and SUV / support-vehicle passengers — to finalise the booking. Provision of false or inaccurate information shall entitle the Company to cancel the booking without refund.
Group Booking and Transfer of Booking
Bookings are non-transferable to other individuals without the prior written consent of MotoHimalayas. Any transfer of booking attempted without such consent shall be null and void.
For large groups, standard policy terms apply; however, custom payment schedules may be discussed with our team on a case-by-case basis and must be confirmed in writing.
Valid Driving Licence — Mandatory Requirement
All riders participating in the motorcycle tour must hold a valid driving licence issued under the Motor Vehicles Act, 1988, or an equivalent valid International Driving Permit (IDP), authorising the holder to ride the class, engine capacity, and type of motorcycle provided by the Company. Proof of a valid driving licence must be submitted at the time of booking confirmation and presented in original upon the commencement of the tour.
The Company reserves the right to disallow any rider from participating if a valid driving licence is not produced. No refund shall be payable in such circumstances.
Medical and Physical Fitness Declaration
By completing and submitting the booking, each participant represents and warrants that:
- They are in good physical and medical health and are not suffering from any condition that contraindicates high-altitude travel, strenuous physical activity, or extended motorcycle riding;
- They have disclosed all known medical conditions, physical limitations, and contraindications relevant to the tour;
- They have, if required, consulted a qualified medical practitioner regarding their fitness to participate; and
- They acknowledge that high-altitude Himalayan terrain presents significant physiological risks — including Acute Mountain Sickness (AMS), High Altitude Pulmonary Oedema (HAPE), and High Altitude Cerebral Oedema (HACE) — and that participation is entirely at their own risk.
The Company shall not be liable for any health-related incidents or deterioration of a pre-existing condition arising from participation in the tour where the participant has failed to disclose such condition.
GST and Tax Invoice
All prices quoted are exclusive / inclusive (as applicable and stated at checkout) of Goods and Services Tax (GST). GST will be charged at the applicable statutory rate at the time of booking.
A valid GST tax invoice bearing the Company's GSTIN — [●] (to be populated before publication) — will be issued to the participant upon successful payment. Participants requiring GST invoices under their company's GSTIN must provide their GSTIN at the time of booking; no amendments will be made to invoices after issuance.
Pricing
Tour prices are subject to change without notice due to external factors such as fuel price hikes, changes in government taxes, currency fluctuations, or increases in third-party service costs. However, once the booking deposit has been received and confirmed by the Company in writing, the base price agreed at the time of booking shall be locked for that participant for the duration of the booking. The deposit is non-refundable in the event of cancellation by the participant, subject to the Refund Policy in Section 4.
