Cancellation by the Customer

A participant may cancel their booking at any time prior to the start date of the tour / service package by submitting a written cancellation notice to the Company through the Contact Us page or by email to the designated booking contact. No cancellation request will be entertained once the tour has commenced, and no refund shall be payable for any unused portion of the tour after commencement.

Upon receipt of a valid cancellation notice, a refund will be processed in accordance with the Refund Policy set out in Section 4 below.

Cancellation by HMRA.in / MotoHimalayas

While we endeavour to deliver every service, package, or accommodation for which a participant has made successful payment through Motohimalayas.com, certain circumstances may require us to cancel a booking. These include but are not limited to:

  • Route inaccessibility due to natural calamity, landslides, avalanches, floods, or severe adverse weather conditions;
  • Unavoidable circumstances such as the death, serious illness, or incapacitation of a tour leader or manager;
  • The number of confirmed participants falling below the operational minimum of five (5) for the scheduled event;
  • Force Majeure Events as defined in Clause 1.8; or
  • Government-imposed restrictions, route closures, or prohibition orders from the relevant authorities.

Where cancellation by the Company is not due to a Force Majeure Event, we will endeavour to provide participants with a minimum of fourteen (14) days' advance written notice. Where cancellation is necessitated by a Force Majeure Event, notice will be provided as soon as reasonably practicable.

If your booking is cancelled by the Company after payment has been received, the full charge amount will be refunded to you within 3 to 5 working days of the date of the cancellation notice, to the original mode of payment used at the time of booking, excluding public holidays and weekends.

We may also require additional verification or information before accepting or processing any payment. We will contact you if all or any portion of your booking is cancelled or if further information is needed.

Customer Cancellation — Refund Schedule

Refunds upon cancellation by the customer shall be processed in accordance with the following schedule, calculated from the date on which the Company receives the written cancellation notice relative to the scheduled tour start date:

4.1.A — Fifteen (15) or More Days Before Tour Start Date

A deduction of ten percent (10%) of the total package amount will be made to recover administrative processing costs and initial commitment fees. The remaining ninety percent (90%) will be refunded within ten (10) working days.

4.1.B — Ten (10) to Fourteen (14) Days Before Tour Start Date

A deduction of fifty percent (50%) of the total package amount will be made to recover confirmed third-party commitments (accommodation deposits, guide fees, transport operators). The remaining fifty percent (50%) will be refunded within ten (10) working days.

4.1.C — Five (5) to Nine (9) Days Before Tour Start Date

A deduction of eighty percent (80%) of the total package amount will be made to recover advanced non-recoverable commitments. The remaining twenty percent (20%) will be refunded within ten (10) working days.

4.1.D — Less Than Five (5) Days Before Tour Start Date

No refund will be issued. One hundred percent (100%) of the package amount shall be forfeited. At this stage, all tour commitments are fully non-recoverable.

For the purposes of this Refund Policy, "working days" means Monday to Friday, excluding national public holidays declared under the Negotiable Instruments Act, 1881, as observed in New Delhi, India.

Registration / Booking Deposit

The twenty percent (20%) registration / booking deposit forms part of the total package amount and shall be subject to deduction in accordance with the refund schedule in Clause 4.1 above. In no event will the deposit be refunded in full where a cancellation is made within the period attracting a deduction that equals or exceeds the value of the deposit.

Mode of Refund

All refunds will be processed to the original mode of payment used at the time of booking (credit card, debit card, net banking, UPI, wallet, or other digital payment method). In exceptional circumstances where the original mode of payment is unavailable or where the payment processing platform does not support reverse transactions, refunds may be processed via NEFT / RTGS to a bank account specifically nominated by the participant in writing. The Company shall not be responsible for any bank charges, transaction fees, or currency conversion fees deducted by the participant's financial institution in connection with any refund.

Third-Party Services

Refund and cancellation terms for third-party services — including but not limited to commercial flights, railway tickets, external accommodation not directly provided by Motohimalayas, HMRA, or any service booked through a third-party operator — are governed exclusively by the individual policies of those third-party providers. The Company has no authority to waive or modify such terms on the participant's behalf.
